Procurement Lead – Business Operations

About the role

We are currently seeking a Procurement Lead and Manager of our 2 x Business Operations Coordinators in the Business Operations (BOPS) team based at our Head office in Cirencester. 

The Business Operations work closely alongside our internal teams (principally Sales, Presales, Project Office and Service Delivery) within the business to support clients across several portfolios. 

Key Responsibilities

  • Working with the project and sales teams to support national and international client portfolios. This includes securing quotes from existing and new suppliers, procurement of technological solutions (Annual Revenue £10M+), and investigating alternatives where required
  • Acting as the first point of contact for suppliers, dispatch, and internal staff regarding lead times, kit deliveries, and courier requirements 
  • Central point of contract between internal departments and external suppliers and customers with an aim to achieve cost effectiveness for all involved
  • Working with internal and external stakeholders to ensure that client expectations are met
  • Working with the accounts department to aid in prompt and accurate customer and supplier invoicing 
  • Complete a variety of administrative tasks to ensure the smooth running of daily operations
  • Ensure compliance with internal standards and procedures, as well as any relevant regulatory legislation
  • Identify and respond to problems in operational processes and resolve them in a quick and timely manner
  • Follow standard operating procedures to ensure efficiency and effectiveness
  • Respond promptly to internal and external requests, communicating with all involved. 
  • Assist with receipt of deliveries so knowledge of safe manual handling practices is essential. 
  • To demonstrate an understanding of Trust Systems ISO certifications and the obligations within this role  

The Ideal Candidate

About You

You should have experience of Netsuite or similar business systems. In addition to reselling solutions and services, as a Managed Service Provider Trust solutions include “As a Service solutions” with associated recurring billing an procurement cycles. Experience of Managed services would be advantageous. 

You must also have first-class skills in written and spoken English with excellent grammar, along with an organised approach and an ability to prioritise.

  • Experience of managing a team to deliver:  
    • A Business service focus, aligned with prioritisation, flexibility and balancing deadlines. 
    • Achieving and measuring effective procurement savings while maintaining quality and a preferred supplier list 
    • Managing and maintaining relationships with key suppliers to provide value and quality 
    • Optimising process, systems and automation for efficiency the department and workflows with other departments or third parties. This is required for growth as the sales team grows 
  • Ability to lead by example with Business Operations Coordinators tasks or in providing cover and flex in the team 
  • Knowledge of Microsoft Office suite, specifically Word, Excel, Outlook, and Teams
  • The ability to organise & prioritise your workload independently with the flexibility to easily adapt to change 
  • Able to learn tools, technology and processes quickly 
  • A “never stop learning” mentality and can apply it daily 
  • Excellent communication & listening skills 
  • To demonstrate an understanding of Trust Systems ISO certifications and the obligations within this role
